In our continuous effort to provide families with insights into the work that ensures the highest standards of service, we conducted an interview with the Program Manager III of the DDS Quality Assurance Team, Rhonda Crummett. 1. Can you talk about why you conduct home visits?
The objective of Quality Assurance home visits is threefold:
- Ensure the individual is getting the services they require.
- To verify that EORs have completed training for the individuals.
- To confirm that case managers and other DDS personnel are fulfilling their roles in providing comprehensive services and support to the EOR.
2. What types of trainings need to be included in the Home Record?
All required trainings must be in the Home Record, including the First Aid and CPR training, Foundations, Effective Teaching and Learning, and residential module training. If you are on the In-Home Supports Waiver and have made the decision to exempt your SD-HTS staff from Foundations, Effective Teaching and Learning, and residential module training, you will need to save a copy of the signed DDS-37 form saved in the Home Record.
3. Does the HTS staff need to be MAT certified? What if the HTS staff is the parent?
It is required for HTS staff administering medications during their working hours to obtain MAT certification, even if they are a parent.
4. What do you do when the EOR reports issues or concerns?
Upon receiving reports of issues or concerns from the EOR, the completed SDS form is forwarded to the program administrator of SDS services for appropriate follow-up. If necessary, any field staff may become engaged to resolve case management issues.
5. Do you walk through the home to check the property, refrigerator, cabinets, etc.?
Our protocol does not include an assessment of the home environment, such as inspecting the property, refrigerator, or cabinets, as this is not considered a residential service.
6. Do you need to see financial information?
No, there is no requirement to review financial information.
7. How long does a visit typically last?
Visits typically range from 30 minutes to an hour, depending on the EOR’s inquiries and any concerns they may present.
8. How often do you conduct visits?
The Quality Assurance Team conducts 100 randomized visits annually between August and March of the fiscal year as part of the OKDHS program.
