Electronic Visit Verification (EVV) information for EORs

Important Reminder

Compliance with EVV is required to continue participation in Self-Directed Habilitation Training Services. EORs who are unable to come into compliance with EVV requirements are at risk of being removed from participation in Self-Directed HTS. Oklahoma Healthcare Authority (OHCA) established a 90% compliance benchmark.

Why is EVV important?

EVV is an electronic clock-in and clock-out system that confirms services were delivered as authorized and helps make sure workers are paid correctly.

As an Employer of Record, you are responsible for:

• Ensuring EVV is used for all services that require it

• Making sure staff are properly trained on EVV use

• Submitting timesheets that align with EVV records

• Working with Acumen (your Fiscal Management Service) staff to resolve EVV-related issues

Training, technical assistance, and guidance are available to help you and your staff successfully meet EVV requirements. Please use the training materials on the Acumen website.

Empowering Families Through Self-Direction

The SDS team appreciates your lasting partnership and dedication. Your willingness to provide feedback, utilize available resources, and strengthen your skills has helped the program continue to grow and improve.

When we started working through the waitlist in May 2022, we had 213 individuals receiving services through Self-Direction. On May 1, 2026, we reached 1,487 who are approved and are billing SDS services. That is 598% growth! To date, 60% of children on the In-Home Support Waiver are self-directing their services!

2026 EOR Webinar Training Series

The Self-Directed Services team at DDS and PossABLE presented the second virtual training for EORs! Topics included:

• Self-Directed employee payroll and EVV compliance

• Requesting vendor payments

• Home Record requirements

• Submitting Quarterly Provider Progress Reports & Incident Reports

Thank you to the Employers of Record who attended our virtual training on May 6. As EORs discover how helpful these trainings are, attendance has significantly increased. We had a total of 51 EORs attend the 2nd webinar!

Reminder to our families regarding the new free CPR/First Aid Certification Training offered through East Central University

Oklahoma Human Services and Developmental Disabilities Services contracted with East Central University (ECU) to offer families in Self-Directed Services the opportunity to take a free course through the American Heart Association’s Heartsaver CPR/First Aid Certification program.

Please note: These ECU certification classes are only offered in Norman, Tulsa, and Ada. DDS does not oversee these enrollments. Enrollments are conducted through ECU.

Q: Who should attend this training?

A: Self-Directed Habilitation Training Specialist (SD-HTS) & LRI HTS.

Q: Are all SD-HTS required to enroll in the training classes offered?

A: No. This is an optional FREE First Aid/CPR training. Employers of Record (EORs) may continue to choose to add First Aid/CPR to their plan of care as usual.

Q: Do I have to pay to take the class?

A: No, the class is offered at no cost to you. However, there is a $35 no-show fee if the SD-HTS fails to attend.

Q: What happens if I register but cannot attend?

A: If you are unable to attend, please notify Mary Weddle at markwed@ecok.edu in writing, as soon as possible so your seat may be offered to another participant. Class cancellations before training will avoid being charged $35 “no-show” fee.

Q: Will I receive a reminder notification once I register for the class?

A: Yes, you will receive an initial confirmation email of enrollment and one reminder approximately 7 days before the training to the email address provided at registration.

Q: Will this training meet DDS First Aid/CPR Training requirements for SD-HTS ?

A: Yes, the ECU training meets DDS requirements and includes the required live training return demonstration for First Aid/CPR skills. Q: Will I receive a certification card or certificate?

Acumen Fiscal Management Service Update

Walk-in days for in-person support are now every Thursday from 9 AM – 4 PM at the following locations:

• Oklahoma City: 6525 N Meridian Ave. Suite 250 in OKC, OK 73116

• Tulsa: 4867 S Sheridan Rd. Suite 711 in Tulsa, OK 74145

We encourage EORs to take advantage of these face-to-face opportunities to have your questions answered and receive personalized support.

Question: Does DDS offer any report templates for the Quarterly Progress Report?

Answer: Yes! A quarterly Provider Progress Report template is available in the EOR Resource Library along with a guide on how to complete the report. Your DDS Case Manager can send you a blank quarterly Provider Progress Report template.  You will also be provided with sample daily documentation sheets. You are not required to use the daily documentation sheets we share. You can create your own if that works better for you. The key is to make sure whatever you use includes a tracking system for all action steps the EOR is responsible for reporting on.

Question: Can I submit reports to DDS in Spanish?

Answer: No. All reports (including the Provider Progress Report & Incident Report) must be completed in English.

Question: I need a step-by-step guide showing what all needs to be saved for records at home.

Answer: You can download a Home Record Checklist from the EOR Resource Library. Your DDS Case Manager can also send you a copy upon request. The Home Record Checklist provides a list of everything needed in the home record along with information on who provides each document and how long to keep them.

Question: If part of the HTS job is to transport to/from places. how does the EVV deal with that?

Answer: EVV will log the location of the employee's clock-in/clock-out. It will be up to the employer to verify the location.  You may contact your Acumen agent to register a specific location as the designated address where your staff person is allowed to clock-in/clock-out.
